Privacy Statement

This Privacy Statement describes the personal data handling policies of Print Management and its affiliates, including Print Store, Inc. (hereinafter collectively referred to as ‘we’, ‘our’ or ‘us’), as a data controller, including the personal data we collect from online applications, services and our website (collectively, the “Website”) at https://www.helloprint.com/us/ (the Website together with all the foregoing, collectively, the “Services”). This statement will explain how we will use the data that we collect via the Services and which rights you have with respect to your personal data.

1. PERSONAL DATA WE COLLECT AND HOW WE USE IT

Personal data is any information that directly or indirectly identifies a natural person. Such information could include a name, e-mail address and the IP-address of your device.

The Services capture some information about you automatically utilizing background local storage and session storage technologies, such as cookies and web beacons (also referred to as clear gifs, pixel tags, single-pixel gifs and web beacons) (collectively, “Tracking Technologies”). Tracking Technologies are small files or other pieces of data which are downloaded or stored on your computer or other device, that can be tied to information about your use of the Services (including certain third-party services and features offered as part of our website). Examples of information collected by cookies are your IP address, the browser you are using, the operating system you are using, the pages on the website that you visit and details of your transaction activity, such as the amount, date and time for each transaction. We may use third-party companies to help us tailor content on the Services to users or to serve interest-based ads or messages on our behalf. These companies may employ Tracking Technologies to measure advertising or messaging effectiveness (such as which web pages are visited, which messages are responded to, or what products are purchased and in what amount). We also collect the information that you provide to us voluntarily.

  • When submitting a contact request on our website, in order to answer your questions, we use the personal data you provide us via our contact form and chat on the website, such as your e-mail address, name and phone number. Chat sessions are recorded and used by both us and our chat service provider. We may now or in the future provide customer support via chatbox or email that utilizes artificial intelligence (AI) and natural language processing (NLP) to understand customer questions and automate responses to them, simulating human conversation. If you do not consent to these terms, please do not use the chat feature and contact us via email instead. We have a legitimate interest for processing this personal data based on article 6(1)(f) of the General Data Protection Regulation (‘GDPR’), since we are not able to contact you without this information. The provision is not a statutory or contractual requirement or a requirement necessary to enter into a contract. However, if you do not provide the contacting information we may not be able to answer your question.

  • When registering an account, we require your name, email address and phone number in order to process the future orders you’ll be placing with us. We have a legitimate interest for processing this personal data based on article 6(1)(f) of the GDPR, since we need this information to contact you for the future orders you can place with us via your account. The provision is not a statutory or contractual requirement or a requirement necessary to enter into a contract. If you do not provide this data we are not able to create an account for you.

  • When registering an account, by accepting our Privacy Statement, you are automatically opted in to our Personalized and Service Emails. Personalized Emails have content tailored to your print needs, and Service Emails inform you about the changes to our website and other relevant changes about the company. You can later opt out of these emails by going to the email preferences page in your account. During account registration, you also have the option to opt in as a subscriber to our newsletters, and we will use your data to contact you with special offers, updates and blog content. We may process this data based on your consent as set out article 6(1)(a) of the GDPR. You have the right to withdraw your consent at any time, without affecting the lawfulness of processing based on consent before your withdrawal.

  • When placing an order, we require your name, email address, phone number, invoice, payment card information, billing address and delivery address in order to keep you informed of important order updates, deliver the order and contact you with any order discrepancies. The provision is a contractual requirement necessary to enter into a contract as set out article 6(1)(b) of the GDPR. If you do not provide this data we are not able to enter into a contract with you.

  • When submitting a quote request via our quote form, we use the personal data you provide us to contact you to address your request. We have a legitimate interest for processing this personal data based on article 6(1)(f) of the GDPR, since we are not able to contact you about the quote without this information. The provision is not a statutory or contractual requirement or a requirement necessary to enter into a contract. If you do not provide this data we are not able to create a quotation for you.

  • We give our customers the possibility to review our services on different third party websites such as Trustpilot or Trusted shop. The personal information you provide with such reviews could be later seen on our own website and communication material. We may process this data based on your consent as set out in article 6(1)(a) of the GDPR. You have the right to withdraw your consent at any time, without affecting the lawfulness of processing based on consent before your withdrawal.

  • If you inquire about a career with us, we will collect the information you provide to us, including information contained on a resume. We have a legitimate interest for processing this personal data based on article 6(1)(f) of the GDPR. The provision is not a statutory or contractual requirement or a requirement necessary to enter into a contract. If you do not provide this data we are not able to evaluate your employment application without this information.

  • We also use the personal data we collect to fulfill legal obligations we have to governmental authorities or other third parties pursuant to GDPR article 6(1)(b) and (c).

  • We do not knowingly collect information from users of our Website under the age of 18 and/or their internet usage, and such persons are not authorized to use the Services. If we obtain actual knowledge that a user is under 18, we will take steps to remove that user's personal data from our databases. By using the Services, you represent that you are at least 18 years old and of legal age to enter into legal agreements.

2. SHARING YOUR PERSONAL DATA

We may share your data between and among our current and future parents, affiliates, subsidiaries, and other companies under common control and ownership, including our affiliate in the United States.

We may share your data with third parties (within or outside your country of residence) that provide services on our behalf, including: database-, server-, maintenance-, security-, or other similar services to us, payment processors, delivery companies, job hosting providers, communication providers and advertising partners.

We may also disclose your data if we believe that the disclosure is required (1) by law or the legal process, (2) to protect and defend our or others’ interests or property, or (3) to enforce agreements you enter into with us.

We may share your data with a third party in the event of any reorganization, merger, sale, joint venture, assignment, transfer, liquidation or other disposition of all or any portion of our business, assets or stock with such third party.

We operate social media pages on third party networks and have social media icons on our Website. When you visit or link to our social media pages, data is processed both by us and the applicable social media provider. Social media providers are unaffiliated with us, and we are not responsible for the content or privacy practices of social media providers. Social media providers have their own terms of use and privacy policies, and we encourage you to review those policies whenever you visit their websites or interact with their platforms.

We may share aggregated and de-identified information with third parties (within or outside your country of residence) for analytical, research or other similar purposes

3. SECURITY

We implemented appropriate technical and organizational measures to protect your personal data against accidental or unlawful destruction or accidental loss, alteration, unauthorized disclosure or access and against all other forms of unlawful processing. Also, we require our data processors to implement such appropriate technical and organisational measures. No Internet or e-mail transmission is ever fully secure or error free, however. We therefore cannot guarantee absolute security of your data, and we are not responsible for processes and networks that we do not control. Users assume the risk of security breaches and the consequences resulting from them. Please be careful in deciding what information you send to us via email or over the Internet.

4. RETENTION PERIOD

Your data will be stored no longer than is necessary for the purposes for which the personal data is collected unless otherwise required by law. We retain information of all processed orders for seven years in order to fulfill our obligations under applicable tax laws. Information of accounts without any orders will only be stored for 18 months before it is deleted from our system, the same will be valid for accounts inactive for 24 months (with inactive we mean that we have not noticed any interaction by you with our Website for a consecutive period of 24 months). All artwork files uploaded on our platform will be stored for a period of 18 months before deletion.

Notwithstanding the foregoing, we store names, email addresses and phone numbers until the user requests to be unsubscribed or removes themselves through any self-service tools offered to the user.

5. YOUR RIGHTS UNDER GDPR

You may contact us by using the contact details at the bottom of this privacy statement, if you wish:

  • to know whether or not we process your personal data;
  • to rectify your data;
  • to erase your data;
  • to restrict your data; and/or
  • us to transmit your data to another organization.

We may request provision of additional information necessary to confirm your identity. The rights mentioned above do not always apply and we will review per request if we need to take action in order to comply with the GDPR. We will provide information on the actions taken without undue delay and in any event within one month of receipt of the request. That period may be extended by two further months where necessary, taking into account the complexity and number of the requests. We shall inform you of any such extension within one month of receipt of your request, together with the reasons for the delay.

You have the right to lodge a complaint with a supervisory authority if we do not respond in time or for any other reason.

6. YOUR RIGHTS UNDER CCPA

If you are a resident of California (or another state that has adopted laws substantially similar to the California Consumer Privacy Act, as amended by the California Privacy Rights Act (“CCPA”)), you have the right to request:

  • The categories of personal information (including sensitive personal information if applicable) we have collected about you;
  • The categories of sources from which the personal information is collected;
  • The business or commercial purpose of collecting, selling or sharing personal information;
  • The categories of third parties with whom we share or sell personal information;
  • The categories of personal information about you that we have disclosed for business purposes; and
  • The specific pieces of personal information we have collected about you.

Additionally, you have the right:

- to know the length of time we retain your personal information;
- to request deletion of your personal information;
- to request the correction of any inaccurate data;
- to opt out of the sale or sharing of your information (if applicable);
- to limit the use of sensitive personal information (if applicable); and
- to not be discriminated against for exercising any of your CCPA rights.

In the last 12 months preceding the effective date of this Privacy Policy, we have shared (as defined under CCPA) consumers’ personal information in the context of cross-contextual behavioral advertising via Tracking Technologies.

Any sensitive data we collect is used only for a business purpose and not for the purposes of inferring characteristics of a consumer.

Our contact information is listed at the bottom of this policy. If you submit a data subject request, we will ask for your name, email address and phone number, and we will endeavor to authenticate your account. We may also require that you submit your request via the Services’ standard authentication procedures (i.e., log on with username and password to submit a request) and/or provide information about any historical transactions with the Services to ensure you are the person you say you are. If this information or these processes are insufficient to verify your identity and assess your privacy request, we may need to ask for additional information. You may also designate an authorized agent to make a CCPA privacy request.

7. ADDITIONAL CALIFORNIA DISCLOSURES

California “Shine the Light” Information-Sharing Disclosure: California residents may request a list of all third parties with respect to which we have disclosed any information about you for such third parties’ direct marketing purposes and the categories of information disclosed. If you are a California resident and want such a list, please send us a written request by email to [email protected] with “California Shine The Light Rights” in the subject line.

California Do Not Track Disclosure: We do not track our customers over time and across third party websites to provide targeted advertising on our Website and, therefore, our Website does not respond to Do Not Track (DNT) signals.
